Presentation Guidelines

Oral Presentations

Format

• Please deliver your presentations in English whenever possible. 

• Each invited speaker and regular presenter is allocated 20 minutes for their presentation, including a 2–5 minute Q&A session.

• The screen ratio is 4:3.

• Please bring your PowerPoint presentation on a USB drive. Your presentation should be in the standard office format (MS Office). You have the option to use your own laptop, but it should be tested in advance of the session.

• If your presentation includes an embedded video, please bring the video as a separate MP4 file to facilitate onsite testing and troubleshooting.

• Kindly submit the presentation materials to the conference email prior to the event and copy your PowerPoint presentation to the laptop in the session room during the lunch or coffee break before your session.

 

Audio Visual Equipment

• Each room will be equipped with a laptop, projector, screen, microphone, laser pointer, and a USB drive.

• Presenters are encouraged to bring their presentations on a USB drive and email a backup copy to themselves.

• Please ensure that your presentation is compatible with the provided equipment.

 

Time Keeping

• Session chairs and volunteers will be responsible for keeping track of time.

• Presenters will receive a 2-minute alert before the end of their allotted presentation time.

• It is essential to adhere to the allotted time to ensure the schedule runs smoothly.

 

No Show

In the event of a no-show, please do not proceed ahead of schedule. Wait for the next scheduled presentation time to start the following presentation. Nevertheless, the session chair may adjust the schedule as needed. If presentations are moved up, the session will end earlier than planned.

Hardware

Windows-based notebook is preferred in the conference room that you can use to upload your presentation. Your presentations (Microsoft Powerpoint or Adobe PDF) will be accepted in USB Flash Drive form. If absolutely needed, speakers may also bring their own notebook or other media device, but they have to test if the connection with the projector works correctly well before the session begins. If you plan to present a video or show any demos, it may be advisable to bring your own notebook. Audio playback will be possible via audio jack.

 

Bring a Backup

If you want to use your own notebook, be sure to bring a backup copy of your presentation with you to the conference. USB/Flash drives are preferred.
